Protecting Your CRM Data: Zoho’s Admin Backup, Recycle Bin, and Audit Trail

As a business owner or sales manager, you understand the importance of keeping your customer relationship management (CRM) data secure, accurate, and accessible. But what happens when a salesperson accidentally deletes a valuable lead, or when changes to your CRM data are made without your knowledge? That’s where Zoho CRM’s Admin Backup, Recycle Bin, and Audit Log features come in handy. These powerful tools allow you to back up your data, recover deleted records, and track changes made to your CRM data, giving you peace of mind and helping you maintain control over your CRM system. In this blog post, we’ll dive deeper into each of these features and show you how to make the most of them.

Admin Backup:

Zoho CRM provides an automatic backup of your CRM data… 2 free per month… which includes all your data, including leads, accounts, contacts, deals, and activities. Admins can also manually trigger a backup at any time. To access your backups, go to the “Backups” section under “Settings” in your CRM account. You can purchase additional backups if you need an extra one before committing a large update or import.

Tip: Your subscription covers two free backups per month, which means you can do a backup biweekly for free.

Recycle Bin:

The Recycle Bin in Zoho CRM allows admins to recover deleted records within a specific time frame. By default, deleted records are stored in the Recycle Bin for 30 days before being permanently deleted. Admins can access the Recycle Bin by going to the “Recycle Bin” section under “Settings” in their CRM account.

Audit Log:

The Audit Log in Zoho CRM allows admins to track changes made to their CRM data by users. Admins can view the time and date of the changes, as well as who made the changes. This feature is helpful in ensuring data accuracy and preventing unauthorized changes to your CRM data. To access the Audit Log, go to the “Audit Log” section under “Settings” in your CRM account.

By utilizing these features, admins can ensure that their CRM data is backed up, easily recoverable, and tracked for changes made by users. This can help prevent data loss, ensure data accuracy, and provide a transparent view of changes made to your CRM data.
